Our Mission
Our office serves as a central hub for all academic records, student registration, and alumni relations. We strive to provide efficient and accessible services to students, faculty, and graduates, ensuring a smooth academic experience and a lifelong connection to our college community.
Meet Our Team
The Registrar and Alumni Management Office is led by an Associate Registrar and Alumni Director, supported by three Assistant Registrars, and a dedicated team of support staff. The Associate Registrar and Alumni Director, is appointed by the College's Chief Executive Director (CED) based on a rigorous selection process. Our Associate Registrar and Alumni, is accountable to both the Health Sciences Education and Service Corporate Director (HESCD) and the Health Sciences Education Deputy Corporate Director (HEDCD).
What We Do
Our office handles a wide range of essential services and responsibilities, including:
- Academic Calendar: We prepare and ensure the implementation of the college's and university's academic calendar.
- Program Communication: We develop and release communications and advertising for college and university programs.
- Alumni Engagement: We develop and maintain a comprehensive alumni information and database system, fostering lasting connections with our graduates.
- Degree Issuance: We prepare and issue original degrees upon graduation.
- Student Information Management System (SIMS): We oversee the implementation of SIMS across all academic programs, ensuring efficient record-keeping.
- Student Services: We supervise the recruitment, selection, and registration of students, notify admissions, and develop systems for easy access to student academic records.
- Graduation Facilitation: We facilitate all aspects of the graduation process.
- Academic Advising Support: We follow up on the provision of academic advising and consulting services for students.
- Academic Progress: We ensure regular communication of students' academic progress each semester.
- Statistical Reporting: We prepare the college's and university's quarterly statistical abstracts.
- Compliance Checks: We verify that students have fulfilled all financial and other requirements for registration and graduation.
- Curriculum Documentation: We document all approved curricula.
- Record Authentication: We authenticate academic records.
- Document Issuance: We provide certificates, official transcripts, medium of instruction letters, and "To Whom It May Concern" letters in accordance with college, university, and federal government guidelines.
- Graduation Ceremony: We present the declaration of students' graduation during the graduation ceremony.
- Verification of medical graduate credentials both in hard copy and online via the USMLE portal.
